Start in the right workspace
Sign in with the account invited to your company. If you belong to more than one organization, choose the one you intend to work in. The pages and controls you can use depend on your role, company settings, and enabled features.
Set up the company and team
In System settings, review Company profile, including the company name, logo, and regional defaults. Use Users & access for members, teams, and departments, then review Roles & permissions. Assign access according to each person’s work, including any separate access to pricing and internal costs.

Define the work you do
Set up Job types and the sales, project, and service pipelines your company uses. Review Calendar & resources before assigning crews. Add the Company Fields you need so required information is collected consistently. Your company can customize labels, so some fields may look different from the examples in these guides.
Bring in customers
Search Customers before adding a new record. Keep the customer’s contacts and job properties together, then create separate opportunities for separate jobs. If you are moving from another CRM or spreadsheet, use Import data and review a small file before importing the rest.

Review Price Book items, costs, and bundles. Publish the proposal and contract templates you will use, and set up payment schedules for deposits and later milestones. If you use Google Docs templates, review the published Soffyt version as well as the source document.

Create and publish your project flows, set the company fallback or contract-specific defaults, and review the signed-quote handoff automation. Acceptance can create or connect the project, but crew appointments still need to be scheduled. Check the project’s scope, tasks, owner, and payment plan before work begins.

Connect personal or shared email, Google Drive templates, and Stripe only where your company needs them. Check account identities, permissions, and connection status. Before any real collection, verify that payments are in live mode and ready; test receipts can affect the workspace’s balances even though no money is collected.

Use clearly identified sample records to rehearse the process with your team. Review the customer, opportunity, quote, project, appointment, documentation, and payment records in order. Check the customer-facing view before sharing anything. Resolve missing fields, unclear ownership, and configuration errors before bringing the rest of the team into the workflow.
