Know what the importer brings over
System settings → Import data supports customers, opportunities, projects, and service tickets, including core fields and supported custom fields. Linked-record imports can include customer details in the same file. Signed documents, files, payments, historical activity, and closed-stage history are outside this importer; opportunities, projects, and tickets begin in open stages.
Prepare the file
Use a CSV export with column headings in the first row and one record on each following row. The uploader accepts up to 50,000 records and 100 MB. Begin with a small representative file so you can check your mapping.
- Use YYYY-MM-DD for dates and plain numbers such as 1250.00 for amounts.
- Keep phone numbers and postal codes as text so leading zeros are preserved.
- Retain original CRM IDs and use a consistent data-source name across related files.
- Include a customer email, Soffyt customer ID, or original CRM customer ID for linked work. Review ambiguous matches before importing.
Run the import
You need access to Import data and permission to create the selected records.
- Choose the record type, enter the previous CRM or data-source name, and upload the CSV. Download the example file if you need a starting format.
Choose Match fields and map each incoming column to its Soffyt field. Review the required fields and defaults.

These defaults supply values for fields not mapped from the CSV. Choose Review import. Review incoming rows beside existing matches, fix invalid values, and decide which rows to skip before starting.
The review counters show which records are ready, skipped, or need attention. Review the rows below before importing. Start the import and inspect Import results. Check imported records, skipped rows, and any rows marked Fix needed or Check record.
The example import finished with two imported records. Review the results and any rows that still need attention. - Open a sample of the created records and confirm customer links, ownership, addresses, amounts, and custom fields before importing the next file.
Understand duplicate handling
Existing records are not overwritten. A matched customer is reused for linked opportunities, projects, or tickets. Ambiguous matches are flagged rather than automatically combined. Keeping original IDs and the same data-source name helps prevent repeat imports; review the results before resubmitting a file.
Plan the rest of the move
Keep the original export and arrange a separate plan for documents, financial history, and other records outside the importer. An old CRM export does not establish consent to send marketing messages. For a migration question, describe the source system and record types to support before sending any customer file.
